Booking Policy – Kid Speak Paediatric Speech Pathology

Purpose
This policy outlines the procedures and expectations for booking, rescheduling, and cancelling appointments at Kid Speak Paediatric Speech Pathology. It ensures fair access to services, supports efficient scheduling, and maintains the quality of care for all clients.
Making an Appointment
Appointments can be made via:
- Phone
- Online booking form (if available)
Once an appointment is requested, it is not confirmed until you receive a confirmation via email or SMS. Please ensure your contact details are up to date and check your spam/junk folders if you do not receive confirmation within 48 hours.
Regular Appointments
Clients attending therapy regularly may be offered a recurring weekly or fortnightly time slot. We aim to maintain consistency in scheduling to support therapeutic progress.
Cancellation and Rescheduling
We understand that unforeseen circumstances may arise. However, to ensure fairness and efficiency:
- Minimum Notice: We require at least 2 clear business days’ notice to cancel or reschedule an appointment.
- Short Notice Cancellations: If less than 2 business days’ notice is given and the appointment cannot be filled, a cancellation fee of 100% of the session fee may apply.
- No-Shows: Failure to attend without notice will be considered a non-attendance and may incur the full session fee.
Exceptions
We understand emergencies happen. In cases of illness, accidents, or other unavoidable events, we may offer:
- A Telehealth session at the scheduled time
- Indirect therapy (e.g. preparation of resources, contacting team members, creating home activities)
These options allow us to continue supporting your therapy goals even if you cannot attend in person.
Repeated Cancellations
Repeated cancellations or no-shows may result in:
- Loss of a regular appointment slot
- Requirement for prepayment of future sessions
- Review of your service agreement
Fees and Payments
- Fees are outlined in your initial appointment confirmation or service agreement.
- Payment is due following each session via EFT, card, or approved third-party funders (e.g. NDIS, Medicare).
- Cancellation fees are not claimable through Medicare or private health insurance.
NDIS Participants
For NDIS-funded clients, cancellations with less than 2 business days’ notice will be charged in accordance with the NDIS Pricing Arrangements and Price Limits (typically 100% of the session fee).
Discontinuation and Right to refuse treatment
At Kid Speak the safety and wellbeing of our staff is our highest priority. At times, our practitioners may be unable to continue providing effective care for a client. This may occur for reasons such as:
- Repeated non-attendance or late arrivals
- The client’s needs falling outside the practitioner’s area of professional expertise
- Rude, aggressive, violent, or threatening behaviour
- Conflicts of interest
- Any other lawful or ethical reason
If any such issue arises, Kid Speak and its practitioners reserve the right to immediately discontinue or refuse treatment. Where appropriate, we will assist by referring the client to another suitable health professional or practice.
